Common Questions About Virtual Bookkeeping

How is virtual bookkeeping different from having someone in my office?

The work is identical, we just do it remotely. You get the same (actually better) service without the overhead of office space, equipment, and HR management. We use secure cloud software so you can access your books anytime, and we meet via Zoom/Teams on your schedule.

After 15 years doing this virtually, we can tell you: clients don't miss in-office bookkeepers once they see the cost savings and flexibility.

Is my financial data secure?

Yes. We use bank-level encryption for all data transmission and storage. Xero and other cloud accounting platforms have better security than paper files in a filing cabinet or data on a local computer.

We're also covered by professional liability insurance and follow strict data privacy protocols.

What if I'm already behind on my bookkeeping?

No judgment, we see this all the time. We offer catch-up bookkeeping services to get you current, then we keep you there. We'll quote this as a separate project based on how far behind you are.

Do I need to switch to Xero/cloud accounting?

Not necessarily. We work with multiple platforms including QuickBooks Online. However, we strongly recommend cloud-based accounting for the automation, accessibility, and integration capabilities.

If you're currently on QuickBooks Desktop or using spreadsheets, we'll help you migrate. It's easier than you think.

How often will we communicate?

That depends on your service package:

- Bookkeeping Essentials: Monthly financial review + ad-hoc questions anytime

- Controller Services: Monthly meetings + ongoing communication

- Virtual CFO: Weekly or bi-weekly meetings + daily/weekly email check-ins

You'll have a dedicated team member as your main contact, with the full team backing them up.

What if I have questions outside of our scheduled meetings?

Ask anytime. Email, text, or call. We're not rigid about "only scheduled meeting times." If you need clarification on a number or have a quick question, we respond fast (usually same day).

Do you work with my tax accountant?

Yes. We handle the bookkeeping and prepare clean financials for your accountant at tax time. Many of our clients have their own CPA for tax filing, we work seamlessly with them.

We also have partner CPA firms we can refer you to if you need one.

Do you offer contracts or can I cancel anytime?

Month-to-month agreements. If we're not delivering value, you can cancel with 30 days notice. No long-term contracts required.
